Who we are
Flocklog is an online service for UK sheep keepers, providing flock register management and livestock movement recording. The data controller for personal data processed through Flocklog is the operator of this service, contactable at hello@flocklog.co.uk.
This policy explains what personal data we collect, why we collect it, how we store it, and your rights under UK GDPR and the Data Protection Act 2018.
What data we collect
We collect only what is necessary to provide the service:
- Account information — your name and email address, provided when you register.
- Holding details — your CPH number(s) and flock number(s), which you enter as part of setting up your account.
- Flock and movement records — animal tag numbers, breeds, dates, movement data, and other information you enter into the service. This is the data you are legally required to keep under UK livestock regulations.
- Usage data — basic technical information such as browser type and access times, collected automatically by our hosting infrastructure (Vercel). We do not use third-party analytics trackers.
We do not collect payment card information. No payment processing is active during the beta period.
Why we process your data
We process your personal data on the following lawful bases:
- Contract — to provide you with the Flocklog service, including creating and maintaining your account, storing your flock records, and sending you account-related emails (e.g. password resets, email confirmation).
- Legitimate interests — to maintain the security and integrity of the service, and to understand how it is being used so we can improve it during the beta period.
- Legal obligation — where we are required by law to retain or disclose data.
We do not send marketing emails. We will not share your data with third parties for marketing purposes.
How we store your data
Your data is stored using Supabase, a database platform hosted on Amazon Web Services infrastructure in the EU (West Europe region). Data is encrypted in transit (TLS) and at rest.
The Flocklog application is hosted on Vercel. Access to your data is protected by Row Level Security — each user can only access their own records.
Both Supabase and Vercel maintain their own data processing agreements and security certifications. By using Flocklog you acknowledge that your data passes through these processors.
How long we keep your data
We retain your account and flock data for as long as your account is active. If you request deletion of your account, we will delete your personal data within 30 days, except where we are required by law to retain it for longer.
Note that UK livestock regulations require you to keep your own holding register records for at least three years. You are responsible for exporting and retaining copies of your records before closing your account. Flocklog provides a CSV export for this purpose.
Cookies
Flocklog uses only essential cookies necessary to operate the service, specifically an authentication session cookie that keeps you signed in. We do not use advertising cookies, tracking pixels, or any third-party analytics scripts that set cookies.
Because we use only strictly necessary cookies, we are not required to obtain cookie consent under PECR.
Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — ask us to delete your personal data, subject to any legal retention obligations.
- Portability — receive your data in a machine-readable format. Flocklog provides CSV export from the app at any time.
- Objection — object to processing based on legitimate interests.
- Restriction — ask us to restrict processing of your data in certain circumstances.

Complaints
If you have a concern about how we handle your data that we have not resolved to your satisfaction, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO):

Changes to this policy
We may update this policy as the service develops. Material changes will be communicated to registered users by email. The “last updated” date at the top of this page will always reflect the most recent version.
